We are recruiting for a Recruitment Administrator to join the Talent Acquisition Team within Aviva Investors.

This is a fixed term contract until the end of 2020.

The Aviva Investors Talent Acquisition Team provides end to end recruitment services globally across all business functions within Aviva Investors for early careers and experienced hires. The team provides full recruitment support across Europe, America and APAC.

You will be required to support Aviva Investors Talent Acquisition and Group Learning & Development teams with scheduling of interviews and general administration duties.

Duties & Responsibilities:

The main part of this role will be working directly with recruiters, vendors and hiring managers to coordinate and schedule interviews, some of which can be complex in nature:

Liaison with hiring managers and/or their PA’s to obtain availability or reviewing availability in diaries (as agreed with each manager).
Confirming date and time for interviews with candidates or recruitment agents.
Agreeing the best technology to use for interview dependant on role and manager requirements.
Sending calendar invitations including links for Skype/Teams/WebEx as appropriate.
Keeping up to date tracker of all scheduled interviews and those in progress.
Informing recruiters of progress of interviews and providing a summary for each role when required.
Managing day to day queries ensuring all are dealt with in an effective and timely manner and escalated where necessary.
Ensuring any bespoke requirements for each manager, recruiter or role are considered.

You will also provide the following administration support to the Learning and Development team:

Course and Event management – diary or room bookings, catering, pre-work, delegate queries.
Reporting – keeping trackers up to date and providing MI updates.
Dealing with data requests.
Supporting queries from learners into the L&D team.

Skills & Experience required:

Experience of scheduling interviews or complex diary management an advantage.
Resilient, highly organised with excellent attention to detail and the ability to prioritise own workload.
A demonstrated ability to multi-task and work effectively under pressure in a fast-paced environment.
Excellent communication skills and motivated to provide proactive communication and updates without prompting.
Ability to interact and work efficiently with recruiters and provide a ‘high touch’ service to hiring managers and candidates.
Experience of working within Financial Services/Investment Management would be an advantage.
Knowledge of Grow / Workday an advantage but not essential.
Knowledge of Office 365 systems (excel, word).
